As wedding planners, we regularly visit venues in person. A beautiful backdrop matters, but a relaxed wedding needs more: smooth processes, suitable routes, well thought-out logistics and a plan B in case the weather doesn’t play along.

Villa Muggia sits above Stresa on Lake Maggiore and is one of those venues that leaves a lasting impression from the very first visit. Surrounded by an extensive park, old trees and an impressive fountain, the villa offers a sweeping view across the lake to the Borromean Islands and the surrounding mountains.
Unlike many classic wedding venues, Villa Muggia conveys a special mix of elegance and privacy. The historic architecture, the generous terraces and the quiet location create an atmosphere that feels almost like a private estate.

Located right on the shore of Lake Garda, La Torre di San Marco is one of the best-known wedding venues on the lake. Our checklist for visiting a wedding venue in Italy
Many villas look dreamy in sunshine. Things only get really interesting in bad weather, though. Especially for a wedding abroad in Italy, you should check during the site visit which alternatives the venue offers.
Can the symbolic ceremony be moved indoors? Are there covered areas for the aperitivo? Can the dinner still be atmospheric if it rains? For us as wedding planners, plan B is one of the most important points of any site visit.
A good plan B shouldn’t feel like a makeshift solution. Guests should feel comfortable even in changeable weather, and the couple should be able to rely on the day running smoothly. Historic villas in particular often have beautiful interiors that can create a unique atmosphere even in the rain.
In photos, many venues look compact. On site, however, it often becomes clear how far apart the ceremony, aperitivo, dinner and party really are.
Especially in summer heat or with older guests, long distances can quickly become a challenge. That’s why at every site visit we check how the individual parts of the day can be connected and whether the flow can be made comfortable for the guests.
The most beautiful weddings often happen when guests can move naturally from one part of the day to the next, with the feeling of discovering the venue bit by bit.
One aspect many couples don’t notice at first during a site visit is the infrastructure behind the scenes. Where is the catering kitchen? How do the service staff get to the different areas? Is there enough space for set-up and logistics?
This area plays a much bigger role in a successful wedding day than many people think. Short distances for the service staff often mean a calmer flow, shorter waiting times and better quality at dinner.
As wedding planners, we therefore pay attention not only to the areas the guests see but also to everything that happens in the background.
A venue can be perfect for 120 guests and suddenly feel empty with 50. Conversely, smaller villas can quickly reach their limits with a larger party.
That’s why we always look at every venue in relation to the planned number of guests. We think about which areas can be used, how the tables can be arranged and whether the atmosphere still works for different group sizes.
A good wedding venue should adapt to the wedding – not the other way round.
This plays an important role, especially for a wedding abroad in Italy. Many guests travel for several days and combine the wedding with a short holiday.
That’s why we check during the site visit which hotels are nearby, whether transfers are needed and how comfortably arrival and departure can be organised.
Venues that offer accommodation on site or very close by are particularly attractive. This way, the couple and their guests can enjoy the whole wedding weekend in a relaxed way.
Of course, at every site visit we also look at things from a photographer’s perspective. Where is the light particularly beautiful? Which areas are suitable for group photos? Where can couple portraits be taken?
Many of the most beautiful photo spots are only discovered on site. Sometimes it’s a hidden terrace with a lake view, sometimes a historic staircase or a garden area that looks especially atmospheric in the evening sun.
In Italy in particular, the pictures often capture the spirit of the place. That’s why at every site visit we specifically look for the places that will later become part of the memories.
A successful wedding thrives on variety. The symbolic ceremony, aperitivo, dinner and party can each feel different and take place in different spots.
During our site visits we therefore always check which options the venue offers for the schedule. Are there different areas? Can parts of the programme be adapted flexibly? Can different moods be created?
Villas in Italy in particular often make it possible to spread the wedding day across several levels, terraces or garden areas. It is exactly this variety that makes so many destination weddings so special.
For a wedding in Italy, travel plays a much bigger role than for a wedding at home. That’s why at every site visit we check not only the venue itself but also its surroundings.
How far away is the nearest airport? Is there enough parking? Can guests arrive easily by taxi or shuttle? And how long is the transfer between the hotel, the ceremony and the party venue?
Especially for a wedding on Lake Garda or a destination wedding on Lake Maggiore, short distances can make all the difference. When guests arrive relaxed, there is more time for what really matters: experiencing an unforgettable wedding weekend together.
Our tip: don’t just think about your own journey, but always about the entire guest journey – from the airport to the dance floor.

Our tip: always ask about exclusive use of garden areas, terraces, dinner areas and possible plan B options.
Many couples deliberately choose a wedding abroad in Italy because they want more than just a wedding day. They want shared experiences with family and friends over several days.
That’s why at every site visit we look at what the region around the venue has to offer. Is there space for a welcome dinner? Is the area suitable for a boat trip on Lake Garda? Can a relaxed farewell brunch be organised?
On Lake Garda in particular, complete wedding weekends with several events often come together: evenings by the lake, wine tastings, boat trips or a relaxed get-together before the wedding.
In our experience, it is exactly these shared moments that couples and guests still talk about years later.
For a wedding in Italy, it is a big advantage if the ceremony, drinks reception, dinner and party can all take place at one venue. Especially for a wedding abroad, this reduces distances, transfers and organisational interfaces.
As wedding planners, we check during the site visit whether the flow of the wedding day works logically: where do the guests arrive? Where does the symbolic ceremony take place? How does the party move from the aperitivo to dinner? And where can everyone celebrate later?
If you are planning a wedding, you shouldn’t just look at the venue hire itself. Many wedding venues charge extra for furniture, technology, cleaning, electricity, shuttle service, overtime hours or staff.
For a wedding abroad in particular, transparent budget planning is important. That’s why, as a wedding planning agency, we ask early on which services are included and where additional costs may arise.
Not every wedding venue allows a long party. Curfews, noise regulations or rules for music can have a strong influence on the wedding day.
As wedding planners for destination weddings, we therefore clarify during the site visit how long you can celebrate, whether moving indoors is possible and which rules apply to DJs, live music or an after-party. This way, the venue suits your dream wedding not only visually but also organisationally.
WHY WE ALWAYS VISIT WEDDING VENUES IN PERSON
Pictures, videos and floor plans can give a first impression. But no presentation, however professional, replaces the moment when you experience a venue yourself.
Only on site do you get a feeling for the atmosphere, the routes, the light and the many small details that later make the difference. That is exactly why we regularly visit wedding venues in person – both in Germany and for our destination weddings in Italy.
We don’t see a venue merely as a beautiful backdrop. We think about how a wedding day there will feel. How will the guests move through the grounds? What options are there for the different parts of the programme? Where will special moments happen, and which challenges should already be considered during planning?
